Distribute printers to save time
M-Files' findings are supported by a study from Epson, in which
83% of 3,600 European employees surveyed said the paperless
office was 'unrealistic’.
Almost two thirds (64%) said they prefer to read reports and
brochures on printed paper, citing the ease with which one can ‘share/
handout’ (53%), ‘read’ (44%) and ‘edit/annotate’ (41%) paper
documents. Six out of ten (62%) felt they were more likely to make an
error when editing an electronic document.
However, the research also highlights how inefficient printers and
printing environments can affect productivity. It found that office workers
spend nearly 19 hours every year walking to and from printers, clocking
up more than 110 kilometres in the process. In the UK, the average
distance to a printer is 13 metres – second only to Germany.
To minimise time lost in this way, Epson recommends replacing
centralised devices with distributed printers placed closer to end users.
It says doing so will also minimise the impact of printer downtime, ease
pressure on corporate networks and reduce delays.
New apps for
Android MFPs
Samsung has brought out new
Android printing apps for the
Smart UX Center interface used on
smart MFPs like the MX7 series.
The Dynamic Workflow app
enables users to create their own
workflows using multiple applications.
For example, they could integrate
multiple tasks, such as scanning, optical
character recognition and document
distribution, into a single workflow that
could be saved as a one-touch shortcut
for future use.
RemoteCall is a paid for app
that connects a user’s printer to an
engineer’s service system for diagnosis
and troubleshooting. A remote
connection enables an engineer to
control the MFP’s Smart UX Center
screen and guide the user through a
troubleshooting process. Engineers can
also connect to a user’s PC.

Power PDF downloads
Tech Data, a UK distributor for Nuance Communications, is
making the company's Power PDF document scanning and
conversion solution available to resellers via the TD Activate
Here electronic download platform.
Tech Data's electronic software distribution system will enable resellers
and retailers to offer Nuance Power PDF for immediate download and
activation by the end user customer.

Manager at Tech Data, said: “More
organisations and individuals are
now looking for ways to streamline
document workflows and store
documents permanently and securely.
Nuance leads the way in document
scanning, OCR and conversion
software and we see good growth
potential for the Power PDF range.”
Nuance’s Dragon range of voice
recognition software for the PC and
Mac is also available from Tech Data.
UK businesses still wedded to paper
Three out of four small businesses are still wedded
to paper, according to research by enterprise
information management solutions provider M-Files
Corporation and the Sage Small Business Panel.
More than three out of four (77%) UK businesses still
store and manage paper records: 58% store data in a mix
of paper and electronic formats, while 19% keep records in
paper format only.
MFiles warns that with most companies using a mix
of paper and electronic methods to store and access
documents, employees waste a great deal of time trying to
locate the information they need in filing cabinets, network
file folders, email folders, file sharing and sync applications
and different business systems.
Julian Cook, Director of UK Business, M-Files, said: “The
transition from paper to electronic document management
has not solved the issue of being able to quickly find the
documents we need. All too often companies have just
migrated their existing
paper filing systems into
digital form and as a
result are still suffering
from the same drags on
productivity.”
Half the sample
stated that its workforce
needed access to
electronic documents and
information when working
remotely on a laptop;
35.2% said they needed
access to files from a mobile device.
The top three reasons given for storing documents in
electronic form are to improve business processes and
operational efficiency (83%), to reduce physical storage
space (84%) and to reduce overall cost (50%).
